R12-General Ledger-Assigning and Removing Definition Access Sets

    create and assign Definition Access Security

    Steps
    1) Sign into Oracle General Ledger (GL) that has access to the following navigation/form:
    Setup : Financials : Definition Access Sets : Define
    navigate to this form.

    2) Create a new Definition Access Set
    enter the user defined name and description and save.

    3) Navigate to Setup : Financials : Definition Access Sets : Assign
    Assign the newly created Definition Access set to the responsibilities that you would like to be in effect for.
    Set the default access levels (use/view/modify) that are desired and select if the definition is to be AutoAssigned.
    Save this assignment.

    4) Navigate to the definition that you would like to secure.
    The following are the definition types that can be secured at this time:
    Accounting Calendars
    AutoAllocations
    AutoPost Criteria Sets
    AutoReversal Criteria Sets
    Budget Formulas
    Budget Organizations
    Chart of Accounts Mappings
    Consolidation Definitions
    Consolidation Sets
    Elimination Sets
    FSG Reports and components
    MassAllocations
    MassBudgets
    Rate Types
    Recurring Journals
    Revaluations
    Transaction Calendars

    Query the specific definition that you would like to secure.
    Example: MassAllocation...the need is to secure the specific mass allocation named UserDefined1. Query this specific definition by the following navigation:
    Journals : Define : Allocation
    select the flashlight from the menu bar.
    Select UserDefined1 from the list of values to query this specific definition.

    5) After querying the specific definition that is needed to be secured, check the Enable Security checkbox, this will enable the Assign Access button.

    6) Select the Assign Access button
    Select the newly defined/assigned Definition Access from the list of values.
    Verify that the default values are correct - press the OK button - save your changes.

    7) After the GLDASF Compile Definition Access Sets program completes with success, the definition will now be secured.

    Removing Definition Access Sets

    Steps in Reverse Order of the above

    ) Navigate to the Definition that is assigned... in our prior example: MassAllocation...the need is to secure the specific mass allocation named UserDefined1.
    Query this specific definition by the following navigation: Journals : Define : Allocation
    Select the flashlight from the menu bar.
    Select UserDefined1 from the list of values to query this specific definition.

    2) Uncheck the security check box - please note that the system administrator or a user with full modify access may need to do this step if the responsibility that is being used does not have modify access to this definition.
    Save.

    3) Navigate to Setup : Financials : Definition Access Sets : Assign
    Query the assignments for the responsibility that has/have been assigned this Definition Access set. Place your cursor on the definition - select the red x from the menu bar and save your changes.
    Once the compile program completes the definition access set will be removed properly and full access will then be available for the users assigned to this responsibility.
